The process of moving a student who has enrolled through Enrollment Express into the YES student database in PowerSchool is a complicated one. Below you will find a step-by-step guide.
1. Select 'Enrollment' in the upper right-hand corner of PowerSchool
2. Choose 'All' to see all new students brought in through Enrollment Express. Select the student you wish to enroll. **When working with multiple enrollments, write down the students name you are currently working on - you will need it later and it can get very confusing.
3. Once you are in the selected student record select 'Functions' then 'Transfer Out Of School'
4. The Exit Date will be today's date, NOT the same date the student is scheduled to begin classes at YES. Exit Code is 'T160'
5. Scroll to the bottom and check this box (this retains any information the parent has already input for the student). Click 'Submit' then 'Confirm Submit'
6. Select 'Back' on the confirmation screen to be returned back to the menu.
7. Verify that you are still in the 'Functions' menu and select 'Transfer To Another School'
8. Choose 'YES Charter Academy' from the drop down menu then 'Submit'
9. Select 'Back' on the confirmation screen to be returned back to the menu.
10. Switch back to the 'YES' side of PowerSchool
11. From the 'Start Page' use the search bar. Type '/[students name]' to find the student you just transferred from 'Enrollment' **This is where you need to reference the exact student you were just working with in the 'Enrollment' side
12. Once the correct student has been selected go to the 'Functions' menu again, then 'Re-Enroll In School'
13. The date will be the date that the student will begin classes at YES. Review the screen capture below for 'Entry Code', 'Full-Time Equivalency' and 'District of Residence' data.
14. Once the top portion is complete scroll to the bottom and select 'Submit'
15. Choose 'Back' on the confirmation screen
16. Select 'Transfer Info' then under 'Previous Enrollments' click on the date for the previous entry which will take you to the 'Edit Previous Enrollment' screen. **Be sure you are selecting only the entry that shows 'Enrollment' under the 'School' heading
17. Do not make any changes to the data in any of these boxes - simply scroll to the bottom of the screen and select 'Delete' then 'Confirm Delete'. You will now see that there are no 'Previous Enrollments' under the 'Transfer Information' screen.
18. You can now register the student in classes as normal. If you are completing this process BEFORE the student has started they will be designated 'Pre-Registered'. Make sure when you are registering them in classes you are selecting the date that is the same and their official enrollment date. It's easy to forget this and the system will auto fill todays date instead.
